Volunteer Shopper FAQs
1. What are the important dates and locations in 2024? | Shopper Deadline to RSVP: Friday, October 25 by 5:00pm Shopper Meeting: Thursday, November 7, 5:30-6:30pm Location: 4H Building, 255 Deloney Avenue, Jackson, WY 83001 Deadline to Adopt Family on Roonga: Friday, November 15 by 5:00pm Gift Drop-Off Date: Wednesday, December 11 from 7:00am – 12:00pm Location: Fairgrounds Community Building, 305 W Snow King Ave, Jackson, WY 83001 |
2. Are there any new policies or changes in 2024? | Yes, we are implementing two new policies this year: 1. Each child is allowed to request up to three (3) total gifts. This does not mean children must select a total of three gifts, only that three gifts is the limit per child. Children may choose to spend their allotted budget on only one or two gifts. The sole exception to this first policy is if a shopper purchased the child’s requested gifts and have remaining funds leftover in the child’s budget. If there are leftover funds, shoppers are welcome to spend the remaining funds on additional gifts appropriate to that child’s age and gender. 2. In order to focus more on the needs of the children rather than a plethora of toys this year, only one of their three gifts can be a toy or game. Each child is allowed to request only one toy or game and it must be the first item listed on their wish list. Educational games are the sole exception to this second policy. Educational games or toys include puzzles, building block activities such as Legos, telescopes, brain games/teasers, and other games that encourage learning. If you are unsure whether a requested gift on your family’s wish list qualifies as an educational game, please contact Santa Fund. Santa Fund has vetted the wishlists for acceptable items but please let us know if you have questions on any gift. |
3. What should I do if I can’t find a requested gift? | If you cannot find the exact gift requested, please try to find the closest equivalent. |
4. What if the child’s wish list exceeds the budget? | Parents have been given a budget per child and asked to rank the gift requests in order of preference. Please start with the top of the wish list and work your way down. |
5. How do I get reimbursed? | You must include our reimbursement form. It can be downloaded on our Shopper page. For the fastest reimbursement you can mail us your reimbursement form and receipts (Santa Fund, PO Box 314, Jackson, WY 83001) or you can give them to us on Drop-Off Day and we will get to them as soon as we can. Please do not email receipts. |
6. I do not want to be reimbursed. What should I do? | Thank you very much for your donation! Please fill out the contact information and your amount donated on the shopper reimbursement/donation form that can be downloaded on our Shopper page. We DO NOT need your receipts (this is new this year) if you are making a donation, please be on the lookout for a receipt from SCF later in the season. |
7. I can’t make it to drop-off day. What should I do? | Please coordinate with a friend to drop your gifts on drop day. If you are unable to coordinate with a friend, please email Mrs. Claus to coordinate a different plan. |
8. How should I wrap and label gifts for drop-off? | Your Roonga Wish List will indicate if the family would like to receive the gifts wrapped or unwrapped. Please attach gift tags to each wrapped gift and include the child’s name and family number (ex: Jennifer, #128). Please attach labels and family number to unwrapped gifts to avoid gifts being lost on drop-off day. All gifts should be in a box or bag with the family number clearly marked on all sides. |
9. The gifts I ordered won’t arrive in time for drop day. What should I do? | Please notify Santa Fund Board members as soon as possible and indicate this on the parent letter from shoppers. |
10. Can I include gift receipts in my packages? | Yes, you may include gift receipts in the parent letter envelope if you wish. Including gift receipts is not required. |
11. The child requested inappropriate items. What should I do? | Please contact a Santa Fund Board member and we will notify the organization that referred the family. Do not purchase the item(s). |
12. What if I purchased all the requested gifts and have leftover funds in the budget? | You are welcome to spend the rest of the child’s budget on age appropriate gifts. Books and art supplies are very popular! |
13. What if I have leftover budget funds for one child and a child in the same family has requested items over their budget? | Budgets are specific to each child. Please do not use leftover budget from one child on another child’s gifts. |
14. I understand that Santa Fund is tax exempt. How do I avoid paying taxes when shopping at local merchants? | Please remind the merchant that Santa Fund is tax exempt. If you run into any issues, please text or call us at (307) 200-9622. |
15. Do I have to pay tax if I order from Amazon and have it shipped to Jackson? | Yes, you will have to pay sales tax. We do not have a way to be tax exempt when purchasing from Amazon. |
16. Should I include batteries if the gift requires them? | Yes, please include batteries plus one extra set. |
17. If the child includes more than one non-educational toy in their wish list or a gift that does not fit into any of the available categories, should I exclude the gift? | Yes. If the child’s first gift was a toy or “Other” item, and their second or third gift is another toy or item that does not fit into an appropriate category, please contact Santa Fund and do not buy the item. We have vetted the lists but may have missed something. Instead, please use the leftover money in the budget on educational games such as puzzles or books. |

3. I am the point of contact at at my agency and cannot attend this year’s mandatory agency luncheon. What should I do? | Please contact a Santa Fund Board Member as soon as possible and ensure an alternative representative from your agency can attend. |
4. My client cannot pick up their gifts on December 11. Can a member of our agency pick up the gifts for the family? | Yes, it is strongly recommended. Please also notify a Santa Fund Board Member and ensure someone can pick up the gifts before 6:30pm. |
5. My client cannot pick up their gifts on December 11 and neither can a member of our agency. What should I do? | Please notify a Santa Fund Board Member ASAP. |
6. Can I still submit agency referral forms and wish lists via email? | For this year, yes. However, Santa Fund strongly recommends submitting your forms online this year as we will soon pivot to receiving forms online only. |

3. What are the prohibited items that my child cannot request? | We do not allow children to request bicycles, TVs, computers, laptops, tablets (iPads, etc.), gaming consoles (Xbox, etc.), gift cards, skis, snowboards, or ski passes. Please do not request any violent, vulgar, or sexually explicit items. This includes hunting knives and other weapons. |
4. I want to include links for gifts. Is this allowed? | Yes! In fact, links are very helpful to the shoppers. However, if you are going to provide a link, we highly encourage you to submit your wish list online instead of providing a written copy. |
5. I don’t want to include the first names of my children. Is this allowed? | Absolutely, Santa Fund values privacy and can omit your child’s first name upon request. |
6. Can my child use their entire budget on one single gift? | Yes, as long as it is not a prohibited item and does not exceed the budget. |
